Shipping Policy 

Cold Plasma Devices, Pads & Applicators

This Shipping Policy applies to all orders placed with Otto Plasma Health Solutions Trading FZCO ("Seller") and forms part of our Terms and Conditions of Sale. Currently, the Seller ships within the United Arab Emirates only. International shipping options may be introduced in the future and will be communicated accordingly. 

 

1.  Shipping Destination 

1.1  The Seller currently ships to addresses within the United Arab Emirates (UAE) only. 

1.2  Orders with delivery addresses outside the UAE cannot be processed at this time. Buyers located outside the UAE who wish to purchase Products are invited to contact the Seller directly at info@otto-plasma.com to discuss alternative arrangements. 

1.3  The Seller reserves the right to expand or restrict the available shipping destinations at any time. Any changes will be communicated on the Seller's website. 

2.  Delivery Terms and Transfer of Risk 

2.1  Unless otherwise agreed in writing, all shipments are made on DAP (Delivered at Place) terms in accordance with Incoterms(R) 2020. The Seller arranges and bears the cost of transport to the delivery address specified in the order. 

2.2  Transfer of Risk: Risk of accidental loss or damage to the Products passes to the Buyer upon delivery of the goods to the specified delivery address or, if the Buyer or an authorised representative is not present to receive the delivery, upon the first attempted delivery. 

2.3  For B2B customers where alternative Incoterms have been expressly agreed in writing (e.g. EXW), the agreed terms shall prevail over this Policy. 

3.  Shipping Costs 

3.1  All shipping costs within the UAE are borne by the Buyer and will be clearly stated during the checkout process or in the order confirmation before the contract is finalised. 

3.2  Shipping costs are calculated based on the weight, dimensions and delivery location of the order. The applicable shipping cost will be confirmed in the order summary prior to payment. 

3.3  For large or bulky orders (e.g. multiple devices), the Seller may provide a separate freight quote. In such cases, the order will not be dispatched until the Buyer has confirmed acceptance of the freight costs in writing. 

3.4  The Seller reserves the right to adjust shipping rates at any time. The rate applicable at the time of order confirmation shall apply. 

4.  Delivery Timeframes 

4.1  Delivery timeframes vary depending on the Product ordered, stock availability and the delivery location within the UAE. Estimated delivery timeframes will be communicated in the order confirmation. 

4.2  As a general guide, the following indicative timeframes apply within the UAE — these are estimates only and are not guaranteed: 

  • Standard stock items (pads, applicators, accessories): typically 2 to 5 business days 

  • Cold plasma devices (in stock): typically 3 to 7 business days 

  • Cold plasma devices (made-to-order or low-stock): timeframe communicated individually at time of order 

4.3  Business days are Monday to Friday, excluding UAE public holidays. Orders placed after 12:00 noon (GST) may be processed on the following business day. 

4.4  Stated delivery timeframes begin from the date of dispatch, not the date of order placement. Dispatch is subject to successful payment clearance and order verification. 

4.5  The Seller shall not be liable for delivery delays caused by circumstances beyond its reasonable control, including but not limited to courier delays, traffic congestion, adverse weather, force majeure events or incorrect delivery information provided by the Buyer. 

5.  Dispatch Process 

5.1  Orders are processed and dispatched on business days only (Monday to Friday, excluding UAE public holidays). 

5.2  Upon dispatch, the Buyer will receive a dispatch confirmation by e-mail including, where available, a tracking number and the name of the courier used. 

5.3  The Seller works with reputable courier and logistics partners operating within the UAE. The specific carrier used for each shipment will be selected by the Seller based on the nature, size and destination of the order. The Buyer may request a specific carrier; the Seller will accommodate such requests where reasonably practicable, and any additional cost will be borne by the Buyer. 

5.4  For high-value orders or large devices, the Seller may require a signature upon delivery. The Buyer will be informed of this requirement in the dispatch confirmation. 

6.  Delivery Address and Failed Deliveries 

6.1  The Buyer is responsible for providing a complete and accurate delivery address at the time of ordering. The Seller accepts no liability for delayed or failed deliveries resulting from incorrect or incomplete address information. 

6.2  If a delivery attempt fails because the Buyer or an authorised representative is not present, the courier will typically leave a delivery notification with instructions for re-delivery or collection. The Buyer is responsible for following up with the courier promptly. 

6.3  If a shipment is returned to the Seller due to a failed delivery caused by circumstances attributable to the Buyer (e.g. incorrect address, failure to collect), the Seller reserves the right to charge the Buyer for the cost of re-delivery. The Seller will contact the Buyer to arrange re-shipment. 

6.4  Address changes after dispatch cannot be guaranteed. The Buyer should contact the Seller immediately at info@otto-plasma.com if an address correction is required. 

7.  Order Tracking 

7.1  Where the courier used provides tracking services, the Buyer will receive a tracking number upon dispatch. The Buyer can use this number to monitor the delivery status directly via the courier's website or customer service. 

7.2  If no tracking information has been received within 2 business days of the dispatch confirmation, the Buyer should contact the Seller at info@otto-plasma.com. 

8.  Damaged or Missing Items 

8.1  The Buyer must inspect all delivered Products promptly upon receipt. 

8.2  If any items are missing from the order or if the outer packaging shows signs of damage, the Buyer must: 

  • document the condition of the packaging and Products with photographs before opening or using any items 

  • note any damage or discrepancy on the courier's delivery record at the time of receipt, where possible 

  • notify the Seller in writing at info@otto-plasma.com within 48 hours of delivery, including photographs and a description of the issue 

8.3  Failure to report damage or missing items within 48 hours may affect the Seller's ability to file a claim with the courier and may result in the claim being declined. 

8.4  The Seller will investigate all reported issues and, where a claim is upheld, arrange for replacement of missing or damaged items or issue an appropriate remedy in accordance with the Return & Refund Policy. 

9.  Special Handling for Medical Devices 

9.1  Cold plasma devices may require special handling or packaging to ensure safe transit. The Seller takes all reasonable measures to package Products appropriately for shipment. 

9.2  Where a cold plasma device is classified as a medical device, additional documentation (such as a packing declaration or conformity certificate) may be required by the courier. The Seller will include such documentation where applicable. 

9.3  The Buyer is responsible for ensuring that the receipt and use of the delivered Products complies with all applicable UAE regulations, including any requirements of the Dubai Health Authority (DHA), the Ministry of Health and Prevention (MoHAP), or other relevant regulatory bodies.
